Listing Assist
Order a trio & check Portland Maps for open permits, oil tanks, etc. to prepare for listing property.
Assist agent in scheduling any of the following: Photos, staging, cleaning, sign install/removal.
Draft the following paperwork & send to the seller for signature: Listing contract, seller's property disclosures, & any in-house disclosures or required forms.
Ensure seller's property disclosures are fully complete & properly executed in preparation for sale.
Once you build the listing in RMLS I will send data input form to seller for signature/initial.
Send any listing addenda needed to seller for signature.
Assist agent in collecting HOA documents in preparation for sale, if applicable.
If agent uses a marketing flyer template, assist agent in creating a marketing flyer.
Ensure all listing specific paperwork is uploaded for file review & approval.
Once seller accepts an offer I will promptly open escrow & confirm timelines with all parties.
Create transaction summary & draft broker demand.
Promptly deliver seller's property disclosures, & HOA documents if applicable, to buyer's agent.
Follow up with buyer's agent for a fully signed copy of any disclosures.
Review preliminary title report & send detailed review to seller.
Assist agent in coordinating inspections with seller & send email with helpful information to prep seller for inspections.
Once agent reviews property disclosures for red flags, I will request any corrections needed, & send to buyer for signature.
Send weekly update to seller every Friday with transaction milestone status & other important updates.
Assist agent in scheduling bids for repairs, & follow up on completion/invoices of any repairs for the seller & file.
If applicable, order home warranty and ensure all parties receive a copy of the invoice.
Upload all paperwork for review in a timely manner. Periodically check & correct paperwork as needed.
Make sure title & lender receive the necessary paperwork throughout transaction. Revise broker demand as needed.
Check in with title & lender on timing of CD & loan docs to ensure transaction is on track for the closing date.
Send seller detailed email explaining signing/closing steps to help prepare for closing, including reminders for personal property included in the sale, removing any additional personal property/debris, a plan for keys, etc.
Communicate with seller & title to assist in coordinating seller's signing appointment.
Review closing statement prior to seller's signing appointment to ensure all information is correct.
Upload final paperwork & ensure file is approved so that commission payment can be issued to agent upon closing.
Upon closing, send seller an email containing all paperwork from the transaction for their records.
Buyer Assist
Promptly open escrow & confirm timelines with all parties.
Create transaction summary & draft broker demand.
Check Portland Maps for open permits, oil tanks, etc.
Work directly with buyer and escrow to coordinate earnest money.
Confirm scheduled inspections with the listing agent.
After agent reviews property disclosures for red flags, I will request any corrections needed, & send to buyer for signature.
Review preliminary title report & send detailed review to buyer.
Send weekly update to buyer every Friday with transaction milestone status & other important updates.
